How do I set up company and customer data files?

Configure the essential data files that store your company information, customer discount rates, and price lookup tables in Roof Wizard.

Updated yesterday

Several data files work together to store your company information and customer-specific pricing in Roof Wizard. These files control how your company details appear on reports and manage discount rates for different customers.

🧾 Company and Customer Data Files Overview

File Name

Purpose

File Type

CompInfo2.dat

Stores your company details as they appear on report templates

.dat

Cust-Discount-Template.dat

Defines product categories for customer discount tables

.dat

Cust-Price-Lookup.csv

Creates lookup table linking customers to their discount rate files

.csv

TradePrice.csv

Contains actual discount rates for customer groups (example name)

.csv

πŸ”§ How Customer Discount Files Work Together

The customer discount system uses multiple files that reference each other:

  1. Cust-Discount-Template.dat defines the product categories available for discounting

  2. When you set discount rates for a specific customer in the software, a new file is automatically created

  3. This new file uses a composite name combining the customer name and "_CustDisc.DAT"

  4. For example, setting rates for "Customer Fred" creates "Customer Fred_CustDisc.DAT"

  5. The software confirms successful file creation in the prompt area

πŸ›  Customer Price Lookup System

Cust-Price-Lookup.csv allows you to create a lookup table connecting customers to their discount rate files. You can have unlimited customers and customer discount tables.

This file links customers to group discount files like "TradePrice.csv", allowing multiple customers to share the same discount structure.

🧾 Price Schedule Structure (TradePrice.csv)

The price schedule file accommodates different rates for different roof pitches. The file uses a numbering system with specific prefixes:

Number Code

Item Category

Description

#0

Pitch intervals

Sets the roof pitch ranges for pricing

#1

Roof tiles

First set of roof tile options with prices for each pitch interval

#19

Roof options

Optional roof items and their cost per unit

#2

Ridge items

Ridge products and pricing

#29

Ridge options

Optional ridge items and pricing

#3

Hip items

Hip products and pricing

#39

Hip options

Optional hip items and pricing

The pattern continues for valley and verge options with similar numbering conventions.

Then we have ridge, ridge options, hip and hip options, valley and verge options:

πŸ”§ Setting Up Price Files

You can create and edit price files using:

  • Microsoft Excel - Recommended for complex setups

  • Wordpad - For simple text editing

The easiest approach is to modify the sample files that AppliCad supplies with the software.

⚠️ Important File Management

Always create a backup of your data files before making changes. This ensures you have a working version to restore if modifications cause issues.

When editing files:

  1. Copy the original file to a backup location

  2. Make your changes to the working file

  3. Test the changes in Roof Wizard

  4. Keep the backup until you're confident the changes work correctly

πŸ’‘ File Location and Naming

Customer-specific discount files are automatically created in your data directory when you set up discount rates through the software. The composite naming system ensures each customer's rates are stored separately while maintaining clear identification.
