π‘ Quote Number Management
Quote number details are stored in a file called quotenumber.dat. This file contains the most recently used quote number with optional suffix and prefix.
A sample quotenumber.dat file would be:
β
;Quote numbering file DEF:Q:1002: R END
Where 'DEF' is a keyword, 'Q' is the prefix, 1002 is the most recent number, and 'R' is a suffix.
You can manage this file using a text editor such as Notepad.exe or Wordpad.exe. Since unused quote numbers are not returned to a pool, it's best to generate the number when you know it's a real quotation.
β
To maintain unique numbers across a network of users, set a common data file directory under Set-Up > Preference Settings > System Preferences.
β οΈ Important Note About 'Notes' Fields
With version 9.0, the dialog was modified to make the last three variables (Job Type, Wind Zone, and Roof Type) more useful as general notes fields.
β
You can switch between JobInfo options by setting the 'switch' in the System Preferences dialog.
β
The dialog now looks like this, with each note box as a separate key text string that can be added to your reports:
You can switch between these JobInfo options by setting the βswitchβ in the Setup > System Preferences dialog.
β
So now the dialog looks like this and each little note box is a separate key text string so that these notes can be added to your reports using the key text strings that normally apply to these fields.
π§Ύ Notes Field Key Text Strings
Field | Equivalent Key Text String |
Notes1 | ###WindZone |
Notes2 | ###RoofType |
Notes3 | ###JobType |
Use these variable names in your report templates to add extra job-specific information to your reports using the Key Text String tags for these repurposed options.
Field | Description |
Wind zone | Descriptive string for the wind zone. Commonly used to provide additional fasteners or fixings per tile for high or cyclonic wind areas. |
Job type | Descriptive string for the job type |
Roof type | Descriptive string for the roof type |
π§ Saving Job Details
When you click [OK], the values are saved for this job.
Note: It's not essential to fill in all fields if they're not applicable to your business. You can skip the Job-Details section if you're unaware of job details at early quotation stages.
Values you enter may be automatically inserted onto reports and drawings. If you don't fill out fields, the information won't be printed. Dates (install, pickup, delivery) default to today's date.
π Customising the Job-Info Dialog
The Job Details dialog may be used as supplied or customised to collect your specific information. For example, if you're digitising aerial photographs, you might edit the dialog to display different labels:
π§ How to Create Custom Field Labels
Create a file called JOBPROMPTS.DAT using a text editor like Notepad
Save this file in your ../User folder
The dialog box will now display your custom labels
Values entered will automatically insert onto reports and drawings
This process changes the label next to each field. To have these details transfer to your reports, you must use the same key text strings.
