How do I understand data file formats and structures?

Learn about Roof Wizard's data files, how they work, and best practices for editing them safely.

Updated yesterday

Roof Wizard uses various data files to store configuration settings, pricing information, and system parameters. Understanding these files helps you maintain and customise your software effectively.

🧾 What are data files?

Data files contain the configuration information that makes Roof Wizard work for your specific business needs. Most of these files are automatically created by the software and store information like:

  • Company details and settings

  • Pricing and pay rates

  • Material specifications

  • Delivery areas and rates

  • Job prompts and custom fields

πŸ”§ Editing options

You have two main options for editing data files:

Option 1: Within Roof Wizard (Recommended)

The safest approach is to use the built-in editing commands provided under the Set-Up menu options. This method ensures:

  • Proper file formatting is maintained

  • Data validation prevents errors

  • Changes integrate correctly with the software

Option 2: External editors

Many data files can be edited outside Roof Wizard using:

  • WordPad or Notepad for basic text editing

  • Microsoft Excel or other spreadsheet software

Spreadsheet programs offer advantages like:

  • Ability to make global changes to prices

  • Better data organisation and sorting

  • Easier bulk updates

⚠️ Important editing precautions

When editing files outside Roof Wizard:

  • Always create backups before making changes

  • Edit with caution as errors can seriously affect software operation

  • Test changes thoroughly before using in production

  • If you're not confident with spreadsheet programs, stick to editing within Roof Wizard

πŸ’‘ Best practices

  • Use the built-in Set-Up commands whenever possible

  • Make incremental changes and test frequently

  • Keep backup copies of working configurations

  • Document any custom modifications you make

πŸ›  File format compatibility

Roof Wizard's data file formats are Comma Separated Values (CSV) files and compatible with Microsoft Excel and other spreadsheet software, making them accessible for advanced users who need to perform complex data operations.

After editing, they must be saved as a CSV file.

Note: The Roof Wizard software reads the CSV file - it does not do any translation of the data held in the respective CSV files. This keeps data file management very simple.
